Terms and Conditions 

 1. Scope

These Terms and Conditions are applicable to all Online Participant(s) “Online Participant“ of the 2021 Human Resources Professionals Association (HRPA) Annual Meeting (AMwhich will be held on Thursday, May 27th, 202between 11:00am and 12:30pm by webcast. 

All Registrants with the status Active who are in the Membership Class of CHRP, CHRL or CHRE are elligible to be Online Participants of the AM subject to their accepting the Terms and Conditions outlined below. 

Online Service(s) Online Services for the AM will be provided by HRPA’s online registration and webcasting platform.  

2. Stability and Availability of the Online Services 

The technical measures we have taken to guarantee the availability and performance of our Online Services conform to the latest standards. However, given the current technology of Internet services, fluctuations and disruptions in the availability, performance, stability and reliability of our Online Services may occur. HRPA cannot control the availability, performance, stability, and reliability of the telecommunications network, or of the Internet services and network elements provided by third parties. HRPA cannot guarantee, and accepts no liability for the availability, performance, stability, and reliability of the telecommunications network, the Internet services, and network elements provided by third parties, or access at all times to our Internet services. Furthermore, HRPA accepts no responsibility for errors and defects in the hardware and software used for the Online Services, including hardware and software of the service companies involved, provided there has been no intentional wrongdoing or gross negligence. If HRPA believes that there are serious security concerns, we reserve the right to suspend or discontinue our Internet services without further notice. 3. Data Protection

The security of your personal data and protection of your privacy are a top priority for us. We ensure this with methods for secure data communication that comply with state-of-the-art technology, and fully compliant with the federal Personal Information Protection and Electronic Documents Act (“PIPEDA”) and Canada’s Anti-Spam Legislation (CASL) laws. Your data is stored, processed, and used in the course of operating the online service, exclusively for the following purposes: 

  • Registration and Validation of your participation in the AM webcast 
  • User identification for accessing the online webcast transmission of the AM 

4. Online Registration

If you successfully complete your Online Registration no later than approximately 48 hours prior to the commencment of the AM you will receive an email at your designated email address with your confirmation detailsIf you do not receive the invitation to the AM electronically within 2 business days of your registration, please contact us at info@hrpa.ca  

5. Providing your e-mail address as part of Online Registration information

If we send you e-mails while preparing for the AM and we receive an error message indicating that the e-mail could not be delivered, we will resend you the invitation by regular mail. Moreover, each Online Participant must ensure that his or her designated e-mail address is capable of receiving e-mails and that incoming e-mails are read. If your e-mail address changes, please inform us no later than 48 hours prior to the start of the AM. 

 6. Voting and Rules of Proxy 

Only Registrants in Membership classes of CHRP, CHRL and CHRE’s as outlined in the HRPA By-laws will be eligible to vote and participate at the AMVoters who are Online Participants of the AM will be able to vote using the Online Services. 

Voting eligibility of Members will be confirmed as part of the Online Registration process. Safeguards are in place to ensure only eligible Members vote and multiple voting by the same Member is restricted. 

No voting Member can submit a proxy and also vote through the Online Services. 

Any allegation of inappropriate voting behaviour will be investigated, and appropriate action taken against the Registrant. 

7. Rules of Professional Conduct 

As a Registrant of HRPA, you have already agreed to abide by HRPA’s Rules of Professional Conduct.  HRPA’s Rules of Professional Conduct includes adherence to HRPA’s By-laws under which the AM is conducted.  A reminder here that any dishonesty in relation to the voting process, assisting anyone else any dishonesty in relation to the voting process, or any other action intended to disrupt the conduct of the AM will be considered a breach of the Rules of Professional Conduct. 

8. Changes to the Terms and Conditions 

We will notify you of any changes to these terms and conditions via the email address that you provided during registration for the AM. 

9. Acceptance

By clicking “I accept the Terms and Conditions” and completing the Online Registration for the AMyou are agreeing with these terms and conditions.
